Any works originally published in an external journal must adhere to copyright restrictions when being published to Beadle Scholar. There are several resources that authors can use to check their re-publishing and archiving rights. Sherpa Romeo is the recommended resource for checking author's rights for most research journals.

If you know the title or ISSN of the journal your work was originally published in, all you have to do is input the ISSN in the search box on Sherpa Romeo's website and click Search. It is recommended to use the ISSN to avoid confusion with journals of similar titles. If you are unsure of the title or ISSN of the specific journal, you may search or browse by Publisher name.

On the journal's information page you will see the Publisher Policy with a list of icons next to a version of the work. These icons correspond to the author's permissions allowed by the publisher. If the Folder icon corresponding to "Institutional Repository" is listed under the version of the work you would like to upload to Beadle Scholar, then it is okay to add that work. If The Folder icon for "Institutional Repository" is not listed, then you do not have permission from the publisher to upload that work to Beadle Scholar.

Be sure to have all of your materials ready for upload.

- After creating and confirming your account, log in to Beadle Scholar using the My Account link at the top right of the page.

- Navigate to the collection that best represents your materials, e.g. faculty from the College of Arts and Sciences should upload their publications to the Faculty Research & Publications collection under the College of Arts & Sciences heading.

- Click "Submit Research" on the left side menu which will take you to the metadata and upload page.

- Headings in RED are required for adding any material to Beadle Scholar, but try to fill out as much information as possible. The more information given, the easier it will be for others to find your work.

- Under the "Upload File" heading, choose the method by which you would like to add your materials. The options are:

  • Upload file from your computer - This is a direct upload of files from your computer
  • Import file from a remote site - This option allows you to import files from an external server. The file must be publicly accessible, and not blocked by any login or authorization protocol.
  • Link out to a file on a remote site - Use this option if your material is available on another journal or website, and you do not want it to be hosted directly on Beadle Scholar.

- Beadle Scholar automatically generates a citation based on the input information. If your work requires a specific citation format, be sure to add it under the "Recommended Citation" heading.

- If you have any additional files, such as data sets, supporting documents, or disclosures to be included with your materials, be sure to check the box at the bottom of the page under the "Additional Files" heading.

Beadle Scholar can accept files of any type, as well as embedded and streaming audio and video.

If you have any questions about content, file types, or media support, contact the repository administrator.

Once all relevant information has been added, and necessary files selected, click "Submit" at the bottom of the page.
